Office and Project Manager
Introduction
evroc is looking for an Office and Project Manager with a positive attitude to oversee our office and manage our organization's event hosting. The Office Manager will be responsible for planning and overseeing our office operations, managing events, monitoring project timelines and event budgets, welcoming guests, and supervising general administrative tasks within the office. You will ensure that guests and colleagues receive the best possible service and information in line with evroc's mission and culture.
The Role
As the Office Manager, you will manage our office and events while providing support to our colleagues in their daily activities. This role is both operational and administrative, encompassing responsibilities ranging from detailed planning to actively participating in and leading operational tasks before, during, and after events, customer meetings, and candidate interviews. Your duties will extend to maintaining a productive work environment and ensuring the functionality and dynamism of our office space. This includes managing invoices, processing expense claims, and preparing financial documents, as well as coordinating both small meetings and big events with numerous attendees.
The ideal candidate for this role should possess exceptional organizational skills, excellent interpersonal abilities, the capacity to handle multiple tasks simultaneously, and strong time management skills. Attention to detail, effective communication and problem-solving skills are also crucial in this dynamic environment with diverse tasks.
What you'll be responsible for
- Organizing and preparing meetings and events (rooms, meals, invitations, schedules).
- Managing office logistics and travel bookings.
- Onboarding new employees.
- Welcoming and assisting guests, occasionally requiring work outside regular office hours.
- Planning kick-offs, customer and student events, and other social activities.
- Maintaining a friendly working environment in the office.
- Managing office purchase orders and following up on supplier agreements.
- Handling invoices and preparing financial documents.
- Maintaining the office's fire, health and safety procedures.
- Managing office logistics and travel bookings.
- Sorting and distributing incoming and outgoing mail and calls via evroc's switchboard.
- Supporting our recruitment team with interview scheduling (including onsite and remote interviews).
